Information for OBX Renters

Listed below are the minimum required standard items found in every Élan Vacations Outer Banks Vacation Home Rentals. However, many OBX NC Vacation Home Rentals are equipped well above these standards and may include DVD players, video games, home theaters, state of the art entertainment systems, etc. Specific Outer Banks rental information will be mentioned in the individual description of each Vacation Home Rentals in the Outer Banks.

Important Information for Outer Banks Vacation Renters

The following items are standard for all Elan Vacations rental homes unless otherwise noted in the specific house description:

Season dates: please note that we use season start dates as Friday. Please refer to the check in day as the actual day of check in per home, whether it be Friday, Saturday, or Sunday.

  • Off Season: 1/1 to 5/18 and 9/8 to 12/31
  • Spring Mid Season: 5/19 through 6/08
  • Pre Season: 6/09 through 7/05
  • Peak Season: 7/06 through 8/10
  • In Season:8/11 through 8/24
  • Fall Season: 8/25 through 9/7

Holidays: Easter Break, Memorial Day, Independence Day, Labor Day, Thanksgiving, Christmas and New Years – if there is a different rate for these dates, it will be listed as such in the individual property listing and in the catalog. General Information: Upon making a reservation with us for Outer Banks Vacation Home Rentals, we will email your confirmation lease agreement. We require a signed lease, half the total base rent, a $125 administrative fee (plus the tax on the admin fee), $99 damage waiver (plus tax on the damage waiver) and the optional travel insurance if you choose to take it, within 48 hours of making the reservation. Cancellations will occur without notice if monies are not received by the due date. If the reservation is made less than 30 days in advance, certified funds, credit card or debit card is required for payment in full. Payments may be made by personal check (not accepted within 30 days prior to check in), debit/credit card, or e-check. All credit card transactions are subject to a third party processing fee of $44.95 (per transaction, subject to change). Visa, MasterCard and Discover are accepted forms of payment through our processor.Your balance is due 30 days prior to arrival. Personal checks are an accepted form of payment 30 days prior to your arrival for balance due payments. Included in the balance are the following charges: the balance of your rent, 6.75% NC State Tax, 6% Currituck County Occupancy tax OR 6% Dare County Occupancy tax (tax is relevant to the County in which the home is located and is subject to change) and your Security Deposit (if the damage waiver was waived). Additional, optional charges, such as Pet Fee & Pool Heat Fees (where applicable) and tax, are also due with your balance. You will receive a receipt of payment when your initial payment is posted and a Paid In Full statement upon posting your balance. Please mark your calendars for the balance due date as payment reminders are not sent.

Note: Your signature on the lease agreement or payment of money or taking possession of the property after receipt of the agreement is evidence of your acceptance of the lease agreement terms and your intent to use the property for a vacation rental.

DAMAGE DEPOSIT / DAMAGE DEPOSIT WAIVER: You have the option of paying a non-refundable damage deposit waiver fee OR you may decline the waiver fee in favor of a traditional security deposit. The waiver fee covers accidental damage to your rental, with a limit of $1500. You will be responsible for any damage above that amount. The waiver does not cover intentional damage, damages resulting from non-compliance with the terms of this Agreement, or damages resulting from negligence of guest. You must complete a Report of Accidental Damages form, which must be obtained from the rental office within 24 hours of incident, or your waiver is void and you will be held responsible for any damages. If you choose to decline the security deposit waiver, a refundable security deposit in the amount stated on this agreement will be included in the charges on your reservation confirmation. Refundable security deposits are held in accordance with the Tenant Security Deposit Act and the Vacation Rental Act and are either returned in full within 45 days of departure or accounted for if there are any charges to the security deposit. Pet damage is the responsibility of the leaseholder.

Travel Insurance: Elan Vacations has partnered with Red Sky Travel Insurance to provide Trip Preserver coverage for our guests. Trip Preserver provides trip insurance, emergency assistance and travel services, hurricane evacuations and family emergencies such as illness or death in the family. The cost is 7% of the total rent and this cost will be indicated on your lease. The fee is due with your first payment and is non-refundable. We include trip insurance automatically with your reservation unless declined at the time of booking. However, the insurance is optional and if you do not wish to purchase it you must call Elan Vacations to have the cost removed.

We strongly urge you to consider this insurance when considering your Outer Banks vacation. NO REFUNDS WILL BE MADE FOR HURRICANE EVACUATIONS WITHOUT TRIP CANCELLATION INSURANCE.

Trip Preserver from Red Sky covers trip cancellation or interruption due to:

  • A named hurricane or other natural disaster
  • Uninhabitability of the destination vacation home caused by natural disaster
  • Uninhabitability of your primary residence or your traveling companion's primary residence caused by a natural disaster
  • Sickness, injury or death of you, a family member or traveling companion

Partial Reservations or Mini Vacations: Some of our Outer Banks Vacation Home Rentals offer partial reservations to be taken in advance (3-night minimum) from October 1st through May 1st. For those homes participating in Advance Partials (some exclusions apply), those dates can be reserved at any time (holiday weeks excluded). Linens and towels are provided for partial reservations. (Partial rates are calculated by dividing the weekly rate by 4 and multiplying that by 3 nights. Taxes and fees apply.)

Cancellations: Cancellation of a confirmed reservation is required in writing via mail, fax or email immediately. Every effort is made to rebook the home. When the home is rebooked and confirmed with payment, all monies less paid travel insurance and the administrative fee (plus tax), will be returned to the Leaseholder. If not rebooked, all monies are forfeited, excluding damage deposit and taxes. A confirmed reservation that transfers to a different home is considered a cancellation with applicable cancellation policy.

Check In: Check in time to the home is 3:00pm. Our Check In office is located 2 miles North of the Wright Memorial Bridge on Highway 158. With our office being located before you cross the Wright Memorial Bridge, you will have the ability to pick up your keys as early as 9:00am. If your home is ready at that time, you may travel directly to your vacation home. If the home is not ready, we will call you when the cleaner has completed the home, otherwise, check in will be at 3:00pm. We make every effort to ensure a 3:00pm readiness for all of our homes, but please remember this is not always in our control. Some homes may require extra cleaning services, or maintenance services that may go over the 3:00pm deadline. Please be aware that we will do everything to expedite these services so that your home is in premier condition and ready for your family, however, we do request that you do not take possession of the home prior to it being ready. There is no guaranteed early check-in.

Late Check In: If you expect to arrive late, please call us toll free at 1-866-760-3526.

Check Out: Our check out time is promptly at 9:00am from the home. This must be strictly adhered to so that the early check in policy will run successfully. Please drop your keys off at our Check In Office on your way off the island- for your convenience we have a drop off box on the right side of Hwy 158 (heading North)across from our office so you will not need to cross traffic.

2019 Reservations: We rent 51 weeks in advance allowing the current guests to pre-book before their departure. The current years guest has until their check out date to pre-book for the following year. Homes not pre-reserved by this deadline will be available to rent by any other interested person. To make a reservation for 2019, call us at 866-760-3526. A $500 non-refundable deposit is required. This money will be credited toward your reservation only if you confirm with a signed lease no later than November 10th. Leased will be mailed out on or about October 1st. NOTE: Owner time takes priority. If an owner wishes to use their home for the week you have pre-reserved, we will make every effort to find you another home. Rental rates, check-in dates and amenities may change from year to year.

Messages, Mail and Phones: If you are planning to receive mail, via general delivery or overnight, please call our office prior to beginning your vacation. Most Outer Banks NC Vacation Home Rentals can not receive mail so you may need to use our check in office address. We will certainly work with you in any way to ensure you receive correspondence while on vacation. Most of the Outer Banks Vacation Home Rentals are equipped with a phone and some are equipped with fax machines and computers. These amenities are available for your use with local calls being free. Any long distance phone, computer or fax calls will require a credit card or phone card since homes have long distance blocks (unless Free Long Distance is advertised). Phone numbers for the Outer Banks Vacation Home Rentals are listed on the lease. The area code and phone number should be given to any emergency contacts you may have. Usually a home under construction will not have a phone number available to us until the last minute. In the event that a phone number is not listed on your lease, please call our office for the number.

Dogs: Dogs are the only types of pets that are permitted in an Élan rental home accepting pets. They are indicated by "Pets Allowed" in the description. There is a $200 (plus tax) non refundable pet fee applied to each reservation to cover extermination. Declare dogs at the time of making your reservation. In the event that your home does not allow dogs or you have another person in your party who has a dog they want to bring, there are excellent kennel facilities in the area. Some of our homes allow pets in the mid and off seasons only and they are designated in the additional amenities section. If you have specific allergies, please let us know even if you are booking a non-pet, non-smoking home.

Construction: The Outer Banks area still exhibits growing pains with a lot of construction going on, mostly in the winter and spring months. However, if you rent a home with construction nearby, please be tolerant and expect to have a good vacation no matter what. Please realize that this is a situation that changes quickly and that we are sometimes not aware of. Refunds or substitutions cannot be made.

Bed Linens and Towels: All of our advertised Élan homes include linens and towels. Our housekeeping staff will make up all the standard beds in your vacation home, will make up the bottom bunk bed completely and will leave sheets for the top bunks, trundles, and sleep sofas. One towel set per occupant is provided and the set consists of 1 bath towel, 1 hand towel and 1 face cloth. Please remember to bring your own beach towels as they are not provided.
